How to create a digital loyalty programme for your café or salon

From choosing the reward to placing the QR sign at the checkout. Here is a practical step by step guide to creating a loyalty programme that customers actually want to join.

A loyalty programme is one of the few marketing tools that allows a small café or salon to compete on the same terms as the large chains. You do not need a large marketing budget or an IT department. All you need is a clear reward, a QR code at the checkout and a team that tells customers about the programme.

Here are the steps we see working best.

1. Choose a clear reward

The strongest loyalty programmes can be explained in a single sentence: "Buy nine coffees and get the tenth free."

Choose a reward your regular customers already buy. It could be a free coffee, a free car wash or 20 percent off a treatment.

Avoid tiers and complicated rules when launching the programme. Every additional rule makes it harder to understand and may result in fewer customers joining.

2. Choose the right number of stamps

Adjust the length of the card based on how often customers actually visit your business.

For a daily coffee habit, 8 to 10 stamps is often a good target. It is long enough for the reward to feel earned, but short enough to keep customers motivated.

3. Place the QR code where customers wait

Joining a digital loyalty programme only takes a few seconds, but only if the QR code is placed where the customer already spends time.

The checkout is often the best location because customers are already waiting to pay. In a salon, the QR code can also be placed at the reception desk or beside the mirror.

Use a short message that sells the reward instead of the technology: "Every tenth coffee is free. Scan to join."

4. Give your staff one sentence to use

The most effective way to increase signups is for staff to mention the programme at the checkout.

Keep the script to a single sentence: "Do you have our loyalty card? Every tenth coffee is free."

Then make stamping the card a natural part of the payment process. With the scanner on a staff member's phone, registering the purchase only takes a second.

5. Use the customer list you are building

This is where a digital stamp card has a clear advantage over paper. Every scan helps you build your own customer list.

You can send a push notification during a quiet period, such as an offer for a rainy Tuesday or an announcement about a new seasonal menu. You can also remind customers who have not returned for a while.

A paper card can never show you which customers are starting to lose the habit of visiting your business.

6. Measure and adjust

Look at three numbers after the first month:

  • How many customers have joined?
  • How many cards have been completed?
  • How often do members return?

If many customers join but few complete the card, consider reducing the number of stamps required. If few customers join, move the QR code, make the reward clearer or review how your staff present the programme.

The idea itself is rarely the problem. In most cases, the programme simply needs to be easier and clearer.
